We are recruiting for a Manager - specializing in Operations.
JOB PURPOSE
1. To act as part of the management team working to achieve objectives set out in the Business plan.
2. Lead and motivate the drivers and work
3. Monitor the KPI’s to prove performance with all sectors of Operations
MAIN FUNCTIONS
1. To monitor and analyse work undertaken and be responsible for both service and profitability per job, to include: 1.1 Receive and analyse customers’ instructions and enquiries – both directly and through assistants 1.2 Organise sufficient cover 24/7 1.3 Establish exact needs (items, sizes etc) and agree costs 1.4 Fit the best solution to each job 1.5 Record on both paperwork and IT systems 2. Manage the operational team, to include:
2.1 Responsible for HR management and admin control
2.2 Ensuring that suitable resource is available and used productively
2.3 Manage people responsibly, time and holiday control, use of PDA units, driver training and performance reviews
2.4 Establish working relationships with all subbies and associate companies
2.5 Ensure that we have sufficient Operational resources on hand
2.6 Conduct recruitment, selection and recommendation of drivers
2.7 Conduct performance reviews and appraisals of drivers
2.8 Administer temperature logs
2.9 Check driver’s timesheets for Finance Manager to process payroll
3. To provide management of vehicles and other resources, to include:
3.1 Directly manage our fleet of vans, including servicing, maintenance, cleaning and fuel/driving efficiency (through tracking information), and the most effective allocation of use
3.2 Ensure vehicles are equipped for any load
3.3 Be responsible for vehicle records, mileage, service requirements and KPI’s
3.4 Be responsible for day to day company mobile PDA usage
3.5 Be responsible for day to day company fuel card usage 3.6 To provide monthly reports to the director showing analysis of vehicle costings to include maintenance, fuel and breakdown costs
4. To manage the various operating systems, to include:
4.1 Be first point of contact for incoming phone calls from both customers and drivers
4.2 Work within the IT software system designed for Couriers, together with a paper trail back up
4.3 Ensure PDA information (from drivers) is being correctly received and used
5. To build close operational links with all regular customers, to include:
5.1 Understanding exact customer’s needs
5.2 Seek out any additional business opportunities from existing customers
5.3 Be involved in setting up new customers, including training drivers on what’s required for that customer.
6. To manage contact with suppliers, to include:
6.1 Maintain direct contact on a day to day basis
6.2 Report any shortcomings to the Directors
7. To be involved in the commercial side of the company, to include:
7.1 Ensure all HR details are correct (holidays,absence, etc)
7.2 Support director with the provision of information to maintain the ISO accreditation
8. Provide out of office responsibility, to include:
8.1 Provide regular out of hours cover including weekends as required
9. Any other reasonable duties as required by the Directors
